During the 1990s, my management team and I found ourselves in a period of strong growth within the company. Despite this success, we faced recurring challenges and bottlenecks. It became clear to us that we needed to carefully review our processes and procedures across the organization. We plucked up the courage and hired a consultant.
Together we set up different areas and headings to systematically work through our challenges. We involved our employees by printing draft copies of the material and welcoming their suggestions and ideas. It was through this inclusive process that we gradually developed a personnel handbook that proved to be invaluable to everyone in the company. This manual significantly increased efficiency and productivity, which in turn led to increased profitability for the company.
"A jointly created PERSONNEL MANUAL laid the foundation and cornerstones of our business, it gave so much more than we had expected"
Torbjörn Källström
These were our watchwords then:
The following motto guides us in our work:
Knowledge. Quality. Security. Openness. Joy. Inspiration. Harmony.
As responsible business developers, our goal is to facilitate and support the implementation of the personnel handbook. Here is a suggestion of how we can be helpful in this process:
- Initial meeting and needs analysis
Meet with company management to discuss the purpose of the employee handbook and identify specific needs.
Conduct a needs analysis to tailor the handbook to the company's unique requirements and culture. - Appoint a working group
Together with management, appoint a cross-functional working group representing different departments and levels within the organization.
Ensure that the working group includes employees who can provide insight and perspective from different parts of the company. - Workshop to establish guidelines
Organize a workshop with the working group to define and establish key guidelines to be included in the manual.
Discuss and clarify expectations and requirements from different departments. - Create a work plan and timeline
Develop a work plan and timeline for the implementation of the staff handbook.
Clarify roles and responsibilities within the work group to ensure each step is completed effectively. - Design the manual with the working group
Work together with the working group to design the structure and content of the manual.
Use the team's insights to create relevant and useful sections for each department. - Educate the working group about the purpose of the manual
Conduct training sessions for the work team to clarify the purpose of the employee handbook and how it will benefit the company. Explain how the manual can be integrated into everyday work routines. - Support during implementation
Offer ongoing support and resources to the working group during the implementation phase.
Be available to answer questions and resolve any issues that arise. - Feedback and adjustments
Organize regular meetings with the work team to gather employee feedback and identify areas for improvement.
Use the feedback to make necessary adjustments and updates to the employee handbook. - Evaluate and report to management
Evaluate the implementation process and results of the staff handbook.
Report regularly to company management on progress and identified benefits.
By taking an active and supportive responsibility for the implementation, and by involving a representative working group, we will ensure that the personnel handbook becomes not only a formal documentation, but also an active and useful resource for the entire organization.
Creating an effective personnel handbook is an important part of establishing clear guidelines and expectations within the company. Here's a step-by-step guide to creating an employee handbook, focusing on operationally implementing it and creating routines to maximize its usefulness:

- Emphasize the importance of respect and diversity.
6. Develop an appropriate structure
- Organize the information logically and consistently.
- Use headings and subheadings to make reading easier.
7. Update and Review
– Plan for regular updates to the manual.
- Engage staff and management in the review process.
8. Implementera handboken operativt
- Create a plan to introduce the handbook to existing staff.
- Conduct training programs or meetings to explain its content.
9. Create routines for use
– Define how the manual should be used in daily routines.
- Clarify who will handle any questions or interpretation problems.
10. Feedback and Improvements

– Use the feedback to continuously improve and update the manual.
11. Use assistive technology

- Adjust and improve it based on experiences and changes in the company.
By focusing on these steps and integrating them into the company's daily operations, the personnel handbook will become a useful tool to create a better working climate and facilitate a smooth implementation.
I am also an ambassador for a modern, fairly new digital HR system that I have now also managed to implement in companies that I work with and with this I want to say that some things collide but I am of the opinion that the important thing is your basic needs and I see that those who work in parallel and those who really use what they have documented are winners.
Feel free to contact me and we can discuss your needs further.
