During my many years as an HR manager and also a leadership trainer in various organizations, I have observed patterns that clearly show that leadership plays a central role in the differences between successful and less successful companies.

I can relate to the period when I personally struggled with private challenges and thereby negatively affected my leadership. Despite my efforts and desire to perform, I sometimes made bad decisions and failed to support my employees in the way they deserved.

What made a decisive difference for my company was having a clear employee handbook. This handbook formed the basis of our procedures and rules. When any of us deviated from these guidelines there was a collective intelligence and desire on the part of everyone to guide and support each other back on track.

It is important to remember that we are all human and sometimes we need support and guidance. A lone individual can run fast, but together we reach further.

In summary, a clear structure and common rules are fundamental to preventing conflicts and promoting a positive work culture.

With well-trained leadership, an organization is created where everyone pulls in the same direction with full force. Just like the water in a mountain torrent, which has such power and energy that nothing can stop it. In the rapids, the stones are ground a little, a little every day. So that the water flows more easily and smoothly. Likewise, the best leaders are constantly striving to find new and better ways to move their organization forward.

To create and maintain a positive working climate is essential to a company's success and the well-being of its staff. Here are some preventive measures for conflict management that can help create a good work environment:

Clear guidelines and policies
Ensure that there are clear and transparent guidelines and policies for behavior and expectations in the workplace. This can include everything from communication protocols to expectations of professionalism and collaboration.

Communication training
Offer communication training to all employees, including managers. By improving communication skills, you can reduce misunderstandings and improve cooperation.

Understanding of differences
Diversity and inclusion training can help staff understand and appreciate diversity among employees. This can reduce the risk of conflicts related to prejudice or lack of understanding.

Conflict management training
Offer training in conflict management for both employees and managers. Learning how to handle conflict constructively can prevent escalation and promote open dialogue.

Feedback culture
Create a culture where feedback is seen as constructive and welcomed. This can make it easier for employees to deal with dissatisfaction or problems at an early stage before they turn into bigger conflicts.

Feedback is a very important area. Often there are problems with processes and tasks at workplaces that are the root cause of conflicts.

If you want to achieve a good feedback culture, it is important that the staff can give feedback in an organized way. Each feedback must give feedback with a proposal for an activity and this must also be specified with a time indication when the activity is to be carried out, including follow-up of the completed activity.

Team building activities
Organize regular team building activities and events to promote collaboration and relationships among staff. The better the teams know each other, the less likely conflicts will arise.

Incentives for cooperation
Create incentives and rewards for cooperation and good relations in the workplace. This can include anything from recognition of achievements to bonuses based on team success.

Manage stress and workload
Ensure that the workload is reasonable and that there is support to manage stress. High levels of stress can increase the risk of conflict in the workplace.

Conflict prevention through policy revision
Regularly review and update company policies and processes to ensure they continue to promote a positive work climate and prevent conflict.

Conflict management team
Set up a dedicated conflict management team The CEO has the ultimate responsibility, but it is common for the CEO to take help from colleagues to handle conflicts in the workplace. This can help identify and resolve problems before they escalate.

By implementing these measures, the company can create an environment where conflicts are prevented through increased understanding, better communication and supportive structures. This, in turn, can promote a positive work culture and increase staff well-being and productivity.

↳ Ex: In the event of a conflict in the workplace, seek a compromise where both sides feel they gain something.

  1. First try to understand, then be understood: Listen empathetically to others before trying to make yourself understood.

↳ Ex: If a colleague is upset, listen actively and try to understand their perspective before presenting your own point of view.

  1. Create synergy: Work together with others to achieve more than you could do alone.

↳Ex: Collaborate with colleagues to combine your strengths and create better solutions.

  1. Sharpen the saw: Engage in continuous self-improvement.

↳ Ex: Set aside time each week to learn something new or develop a skill that is important for your personal or professional development.

In the companies where I currently work, I see a completely new atmosphere and commitment, where clear role descriptions and work instructions have been documented.

By clarifying the expectations of different managers and employees, the risk of things being forgotten is reduced, and in those companies that conduct regular and meaningful employee reviews, there is a clear benefit for all involved.
